Privacy policy

1. Controller

2. Data we process
- Registration: team name, first and last names of both players, the captain's email address and mobile number, chosen language, drink choice (beer, spritzer or non-alcoholic, for drinks planning), and when the terms and the age confirmation were accepted.
- Tournament: participation status (e.g. waiting list, checked in), whether the entry fee is paid, seed, pairings, table assignments and results.
- Referees: a self-chosen display name and the time of last activity.
- Technical: our hosting provider automatically processes connection data such as IP address, time and requested page (server logs).
3. Purposes and legal bases
- Running the tournament, the confirmation email after registration and one reminder email each a week and a day before the tournament: Art. 6(1)(b) GDPR.
- Secure operation of the website (server logs): Art. 6(1)(f) GDPR.
The registration details are required to take part. There is no automated decision-making (Art. 22 GDPR).
4. What is public
Team names, the bracket, table calls and results are public on the live pages and the projector at the venue. Player names, email addresses and phone numbers are never published.
5. Recipients and processors
- Vercel Inc., USA – website hosting (EU-US Data Privacy Framework / standard contractual clauses).
- Neon Inc., USA – database, stored in an EU data centre (standard contractual clauses for any access from the USA).
- Brevo (Sendinblue SAS), Paris, France – sending confirmation emails.
6. Retention
Player names, email addresses, phone numbers and referee display names are deleted 30 days after the event. Team names and results are kept as tournament history.
7. Cookies
Only strictly necessary cookies (§ 25(2) no. 2 TDDDG): session for organiser and
referee logins (max. 12 hours) and lang for your language (1 year). No tracking, no
analytics; fonts and scripts are served from our own server.
8. Your rights
Access, rectification, erasure, restriction, data portability and objection (Art. 15–21 GDPR) – just email us. You may also lodge a complaint with a data protection supervisory authority (Art. 77 GDPR).
